What information might we collect?
We do our best to keep the information we collect about you to the minimum necessary.
The information we collect depends upon how you are interacting with us. For example, if you’re booking a holiday or tour with us we are likely to ask for more information than if you’re only requesting a brochure or browsing our website. We may collect, use, store and transfer different kinds of personal information about you, which we have summarised in the box below.
Brochure requests: When you register on our website to receive a brochure we may ask for personal information about you consisting of information such as your name, e-mail address, postal address, telephone or mobile number. By entering your details in the fields requested, you enable us to provide you with the services you select. We will not subscribe you to our email newsletters unless you specifically opt-in. We will not share this data with any third parties.
Email newsletter: When you sign-up to our emails newsletters on our website we may ask for personal information about you consisting of information such as your name, e-mail address and country of residence. By entering your details in the fields requested, you enable us to provide you with the services you select. You will be able to unsubscribe from our emails at any time using the unsubscribe link or by contacting our office. We will not share this data with any third parties.
Online enquiry: When you submit an enquiry online, we may ask for information such as your name and contact details. By entering your details in the fields requested, you enable us to provide you with the services you select. We will not subscribe you to our email newsletters unless you specifically opt-in. We will not share this data with any third parties.
Booking: When you book a tour with Wild Frontiers there is a certain amount of information we require to fulfil your holiday. This can sometimes include:
Full name as per your passport
Date of birth
Next of kin
Postal address
Telephone number
Insurance details
Passport information
Details of any medical condition and medication
Names of additional passengers
Credit or debit card information if paying online
How do we collect your information and why?
Depending on your interaction with us, we collect information in the following ways:
Direct Interactions
You may give us your identity, contact and financial data by filling in forms or by corresponding with us by post, phone and email or otherwise, This includes personal data you provided when you:
- book or search for a tour/holiday or other service via one of our websites, any apps we use, our call centre;
- fill in part of the booking information on our site but do not complete the booking;
- request a brochure, sign up to receive email updates, participate in any of our competitions, promotions (for example via any social media channels, email or our site), surveys or market research;
- create an account on our website and enter information into online forms;
- provide us with information about an accident, illness or incident that occurred or some other feedback;
- apply for a job with us by email or via the site;
- contact us via our call centres, press office, social media, post, email or instant messenger. Our interactions with you may be recorded and monitored for the purposes of improving customer service, quality assurance, training, security and general business purposes; or
- attend any of our events.
Automated technologies or interactions
As you interact with our website, we may automatically collect technical data about your equipment, browsing actions and patterns. We collect this personal data by using cookies, server logs and other similar technologies.
Third parties or publicly available sources
We may receive personal data about you from various third parties as set out below:
- airlines, hotel providers or other parties we work with if you make a complaint to them;

How will it be used?
Wild Frontiers will use your personal information for a number of uses including, but not exclusively, for the following:
Administrative purposes, which means that Wild Frontiers may contact you for reasons related to the service you have requested e.g. extra information required for visas or pre-trip paperwork required
To analyse and improve the services offered e.g. post trip feedback
To keep you updated of special offers and general information via our e-newsletter (from which you may unsubscribe at any time)
If you have booked a holiday with Wild Frontiers, we will keep your information on record for three years after you return home, in case this information needs to be accessed in matters relating to your booking. This information will be deleted after three years.
Who will it be shared with?
If booking a holiday with Wild Frontiers, we will need to share information with our ground handlers in the destination you are visiting. This consists of your passport number, date of birth, insurance details, next of kin and any medical conditions, medication or dietary requirements. We request that our ground agents delete this information 30 days after your tour ends.
Information relating to your holiday booking will be shared with all persons named on your booking. This consists of but is not limited to, your passport number, date of birth, insurance details, next of kin, medical conditions, medication and dietary requirements.
If booking a Telegraph Tour your data is owned by The Telegraph Group.
A small number of Telegraph Travel holidays are operated by Wild Frontiers, which is wholly independent of Telegraph Media Group Ltd. Please see the telegraph.co.uk/privacypolicy for details of how they handle your data. Travel insurance is not included. In the case of unforeseen circumstances, tour experts/ itinerary may be substituted. Prices are correct at time of print and may be subject to change - depending on availability reductions or increases may apply at the time of booking. Wild Frontiers reserve the right to change the pricing of your holiday before your booking is confirmed. Please call through to Wild Frontiers for more details.”
Your personal data rights
We want you to feel reassured that you have control of your personal information. With this in mind, we have explained below the rights you have in relation to the personal information we hold about you:
- The right to be advised of how we will use your personal information. This is set out in this privacy policy and we do our best to provide you with as much information as we can at the point at which you pass us your data.
- The right to ask us to correct any information you believe is incorrect.
- The right to ask us to not to use your information for marketing purposes.
- The right to receive a copy of the personal data we hold about you or to request that we transfer this to another service provider.
- In certain circumstances, the right to ask us to stop using information about you.
- The right to ask us to limit or cease processing or erase information we hold about you in certain circumstances.
- The right to withdraw consent that you have provided to us to use your personal information.
How can you exercise your rights?
You can exercise these rights over your data by contacting us or by checking the applicable boxes on forms where we collect your information or to tell us that you don’t want to participate in marketing.
You can also unsubscribe from any marketing circulation lists you are on by scrolling to the bottom of the e-mail and clicking the ‘unsubscribe’ link.
We will comply with your requests, unless we have a lawful reason not to do so. We may need you to provide additional details to confirm your identity in order to process your request.
How long do we keep your data for?
We will only keep your personal data for as long as necessary to fulfil the purpose we collected it for, including for the purpose of satisfying any legal accounting or reporting requirements.
We operate a data retention policy and look to find ways to reduce the amount of information we hold and the length of time we hold it for.
By law we have to keep basic information about booking and our customers for six years for legal claims and tax purposes.
In some circumstances we may anonymise your personal data (so that it can no longer be associated with you) for research or statistical purposes in which case we may use this information indefinitely without further notice to you.
